ProServices Preliminary Information Request template
The purpose of a ProServices Preliminary Information Request (PIR) is to ensure the specific expertise exists within the ProServices supplier base. General use of the ProServices categories will not require a PIR, however when a client department is looking for a very specific expertise, then using a PIR is recommended in order to obtain an appropriate list of pre-qualified suppliers to work from.
The PIR should be sent via email to all the pre-qualified suppliers appearing on a category specific CPSS search result list.
Subject of email: ProServices Preliminary Information Request (PIR)
<Name of Department> is enquiring whether or not the following expertise can be found from the list of pre-qualified ProServices suppliers listed under Stream <Enter stream number and name>: <Enter category number and name> ,(<select one: Junior, Intermediate, Senior> level):
- <Enter in specific expertise or knowledge being requested> and
- <Enter an estimated timeframe so suppliers can address their capacity to supply a resource>
Those suppliers who have the above requested expertise, please respond by return email by <Insert date and time (2 day turnaround time is recommended)>.
Note: responding to this enquiry does not guarantee to the suppliers an invitation for any future Request for Proposals (RFP) issued and/or subsequent contracts.
Note to users
Should the PIR yield no responses, please contact ProServices and provide the following:
- a copy of the PIR email
- the category and level of expertise required
- the dollar value of the requirement
- Centralized Professional Services System (CPSS) Suppliers search results list (both the filtered and final list)
- the Statement of Work (SOW)
- the RFP (if applicable)
ProServices will review all documentation and explore the possibility of granting an exemption from using the method of supply for your requirement.
